Somewhere in the middle of a procurement meeting, someone will say, “just use the same brand we used last time.” I’ve learned to treat that sentence with suspicion. Not because brands are useless, but because in industrial chemicals, the brand is only the starting point.
I’m a quality/compliance inspector at a specialty chemical manufacturer. I review every inbound material and every finished batch before it gets a release label—roughly 200+ unique items a year. I’ve rejected first deliveries for things as small as off-color powder and as serious as a missing certificate of analysis. This checklist is the one I wish I had before I started.

1. Verify the supplier against the official source

The trial usually takes longer than you expect—or rather, it takes as long as the material needs, and you should plan for that.
7. Document acceptance criteria and test methods
Write everything into the purchase order. Include the exact product name, the manufacturer item number, the test method for each critical parameter, the acceptable range, and the required documentation, such as a batch COA, safety data sheet, and declaration of compliance. Also include the time frame for raising quality claims.
This step feels bureaucratic until the first disagreement. Then it’s the only thing that matters. I’ve had suppliers say “within industry standard” when they meant “close enough.” With written acceptance criteria, close enough doesn’t count.
Common mistakes and an honest limitation
Three mistakes I keep seeing:
- Relying on the label alone. Labels are for marketing; COAs are for quality.
- Mixing products from different batches without approval. Same-brand material can vary slightly from batch to batch.
- Assuming the official website lists every distribution channel. Distributors can be legitimate, but verify they’re authorized for the product you’re buying.
