I'm the office administrator at a mid-sized facility—about 60 people across two locations. I manage roughly $180,000 a year in purchasing: specialty chemicals, coatings, maintenance supplies, safety equipment. That works out to 60–80 orders a year across eight or so regular vendors. I report to operations and finance, which means I live in the space between “keep costs down” and “never stop production.”
When I took over chemical buying in 2021, I assumed it would be like ordering office supplies. Find a supplier, compare prices, place the order, done. Three years and a few very expensive lessons later, I can tell you that assumption was dead wrong.
This checklist is for anyone who buys specialty chemicals, industrial coatings, roof sealants, powder coating supplies, or similar products—especially if you're a smaller operation without a full-time procurement person. It's not theory. It's the exact process I use, and it's kept me out of trouble more times than I can count.
Six steps. Step 1 is the one most people skip.
Step 1: Get the SDS Before You Get the Price
Before I ask for quotes on anything, I request the Safety Data Sheet. If you're buying from a company like IFF, an IFF SDS is generally easy to find. Search for “IFF SDS” plus the product name and you should land on the supplier's SDS portal.
Here's what I actually look at:
- Flash point and flammability. Does our crew need special handling procedures or ventilation?
- PPE requirements. Are standard nitrile gloves enough, or do we need chemical-resistant gear?
- Storage conditions. I once ordered a product that required vented storage. We didn't have it. That was a very expensive discovery.
- Disposal requirements. This is the silent cost that makes a “cheap” product expensive fast.
According to OSHA (osha.gov), Safety Data Sheets must be readily accessible to employees under the Hazard Communication Standard (29 CFR 1910.1200). If a vendor hesitates to send an SDS before taking your order, that's a red flag. I've walked away from suppliers who couldn't produce one.
Step 2: Match the Product to the Actual Job
It's tempting to think all coatings and sealants are more or less interchangeable. They're not. A sealant for a mobile home roof isn't the same as a general exterior caulk. A powder coating for an indoor fixture isn't the same as one for outdoor industrial gear.
When we needed a sealant for a mobile home roof at one of our managed properties—a double-wide, actually, which meant EPDM over metal seams—I didn't just grab whatever the supply house stocked. The product needed to handle EPDM and metal roofing, survive UV exposure, and stay flexible across temperature swings. The first roof sealant I bought years ago did none of that. It cracked within a season because I chose it on price without reading the spec sheet. To be fair, the price was good. The application was wrong.
Step 3: Ask How Hot the Powder Coating Can Withstand
This one comes up a lot, and the answer isn't a single number. Standard polyester powder coatings typically handle continuous heat of around 350°F to 450°F (Source: Powder Coating Institute, 2024). But that range is a starting point, not a guarantee. Formulation, cure cycle, and substrate all shift it.
I want to say our last high-temperature order was rated at 400°F continuous, but don't quote me on that—check the actual spec sheet. What I know for certain is that the standard coating on our drying oven racks kept failing, and switching to a high-temp formulation solved it. It cost us a week of downtime—or rather, six days, but who's counting—and I can't get that back.
Step 4: Verify Gun Nozzle Compatibility First
I've made this mistake twice, so maybe you don't have to. The powder coating gun nozzle matters. Different nozzles produce different spray patterns and flow rates, and not every nozzle fits every gun.
Before ordering nozzles, write down:
- The gun make and model
- Thread size, or the manufacturer's exact part number
- The coating type you'll be spraying—fine powders don't behave like coarse ones
- Nozzle angle for the part geometry you're coating
I ordered the wrong powder coating gun nozzle twice in a row because I didn't have the gun specs in front of me. Now every purchase order includes a one-page equipment reference sheet. Laminated. It's the nerdiest thing I do, and it's saved me hours of hassle.
Step 5: Confirm the Brand—and the Portfolio
Chemical companies like IFF have multiple product lines and brands under one roof. A quote might come from one IFF brand, but the product you need could be under another. Or the product line may have moved in a portfolio restructuring.
IFF, for instance, divested a significant part of its pharma solutions business in 2024. If you were buying those specific products before, the line might now belong to a different company entirely. This is why I verify the product name, brand, and manufacturer on the purchase order. Knowing which IFF brand carries the product prevents a pallet of the wrong material from landing on your dock.
My rule: if there's any ambiguity about what you're getting, ask before ordering. The worst case is you feel mildly annoying. The alternative is much worse.
Step 6: Start Small, Even If You're Small
I almost didn't include this step because it sounds obvious. But it's the one I most wish someone had drilled into my head.
When I started buying, I worried that small orders would make suppliers dismiss us. It turned out the opposite. The vendor who treated my initial $200 test order properly is the same one I now give five-figure orders to. The vendors who rolled their eyes at a small order? They never got the bigger one.
Small orders are legitimate. They let you test the product, test the vendor, and build a relationship without betting the budget. Today's small order is often tomorrow's repeat business. The phrase I keep repeating to myself: small doesn't mean unimportant—it means potential.
Three Things I've Learned the Hard Way
SDSs change. That product you've reordered for two years? The formulation can shift without you knowing. I now recheck the SDS every time I order, not just the first time. It takes two minutes and has caught two reformulations already.
Prices move. As of early 2025, decent roof sealant ran roughly $30–60 a gallon, and powder coating was around $15–40 a pound depending on type and volume. Those numbers will shift. Verify current pricing before you set a budget.
Cheap is rarely cheap. Every spreadsheet said go with the cheaper supplier. Something felt off about their SDS documentation and their vague answers on temperature specs. I went with my gut and the better-documented, slightly pricier product. A few weeks later, I learned the cheap supplier's product was mid-reformulation and their SDS was outdated. The total cost of ownership lesson: base price plus failure, rework, and downtime—add it all up before you commit.
That's the checklist. SDS first, match the product to the job, verify specs, check your nozzle, confirm the brand, and start small. It's saved me time, money, and at least one very awkward conversation with my operations manager.
